The company operates in a fast-paced, entrepreneurial environment where efficiency, organization, and proactive problem-solving are highly valued.</p><p>The company is seeking a highly organized and resourceful Business Operations & Executive Coordinator to support leadership, streamline operations, maintain vendor and website organization, and keep day-to-day activities moving efficiently across multiple areas of the business.</p><p>This is an ideal opportunity for someone who enjoys wearing multiple hats, taking ownership, solving problems independently, and helping bring structure to a growing operation.</p><h2>What You’ll Do</h2><h3>Executive Support</h3><ul><li><p>Manage and organize the CEO’s inbox and communications</p></li><li><p>Flag high-priority emails and help prioritize responses</p></li><li><p>Coordinate calendar scheduling and meetings</p></li><li><p>Prepare notes, reminders, and follow-ups</p></li><li><p>Help move projects and tasks from “pending” to “done”</p></li><li><p>Support leadership with day-to-day operational coordination</p></li></ul><h3>Vendor Research & Data Organization</h3><ul><li><p>Research and identify vendors nationwide, including:</p><ul><li><p>Steel suppliers</p></li><li><p>Erection crews</p></li><li><p>Specialty construction vendors</p></li></ul></li><li><p>Gather contact details, pricing, service areas, and availability</p></li><li><p>Maintain organized and searchable spreadsheets/databases</p></li><li><p>Follow up with vendors to collect missing information</p></li><li><p>Keep vendor records accurate and updated for internal use</p></li></ul><h3>Website Product & Content Updates</h3><ul><li><p>Update product listings and content in WordPress</p></li><li><p>Upload and organize product photos and project images</p></li><li><p>Use Adobe Photoshop or similar tools to resize, crop, and optimize images</p></li><li><p>Help maintain accurate and visually organized product pages</p></li><li><p>Support updates to product descriptions and related website content</p></li></ul><h3>Marketing Content Support</h3><ul><li><p>Organize project photos and videos from completed builds</p></li><li><p>Create simple marketing videos using existing photo/video assets</p></li><li><p>Help maintain organized media libraries</p></li><li><p>Coordinate with leadership on content priorities and timelines</p></li></ul><h3>Operations Support</h3><ul><li><p>Coordinate deliveries and scheduling</p></li><li><p>Assist with tracking materials and logistics</p></li><li><p>Support reporting and operational admin tasks</p></li><li><p>Help remove operational bottlenecks and improve day-to-day efficiency</p></li></ul><h3>General Administrative Support</h3><ul><li><p>Data entry and documentation</p></li><li><p>Organizing digital files and systems</p></li><li><p>Managing recurring administrative tasks</p></li><li><p>Supporting the team wherever needed to keep operations moving smoothly</p></li></ul><h2>Requirements</h2><ul><li><p>Highly organized and detail-oriented</p></li><li><p>Strong follow-through and accountability</p></li><li><p>Excellent written and verbal communication skills</p></li><li><p>Comfortable researching vendors and making calls</p></li><li><p>Experience with WordPress</p></li><li><p>Familiarity with Adobe Photoshop, Canva, or similar tools</p></li><li><p>Basic video editing skills for simple marketing/social media content</p></li><li><p>Strong spreadsheet and organizational skills</p></li><li><p>Ability to manage multiple moving parts simultaneously</p></li><li><p>Resourceful, proactive, and solutions-oriented</p></li><li><p>Comfortable working independently in a remote environment</p></li></ul><h2>Bonus Points</h2><ul><li><p>Experience supporting an executive or business owner</p></li><li><p>Experience in construction, logistics, or vendor coordination</p></li><li><p>Strong Excel or Google Sheets skills</p></li><li><p>Experience maintaining websites or product databases</p></li><li><p>Familiarity with operational workflows and process coordination</p></li></ul><h2>What Success Looks Like</h2><p>In this role, leadership stays focused because operations stay organized and moving efficiently.</p><p>Vendor information remains accurate and easy to access.</p><p>Deliveries and scheduling stay organized.</p><p>Website content stays updated and visually polished.</p><p>Marketing assets remain organized and useful.</p><p>Most importantly, this role helps reduce friction across the business and supports the company’s continued growth.</p><p><br><br><strong>This is a remote/telecommute position.</strong></p>
