<p><strong>Title: </strong> Private Client Assistant </p><p><strong>Location</strong>: Tysons, Virginia - Hybrid Role (in office Tuesday, Wednesday & Friday)</p><p><strong>Salary:</strong> $93-95K</p><p><strong>Department: </strong>Private Client</p><p><br></p><p><strong>Description:</strong></p><p>The Private Client department of Loeb & Loeb LLP has an immediate opening for a Private Client Assistant in its Tysons, Virginia office. Responsible for providing administrative support and secretarial assistance to assigned attorneys/legal personnel pertaining to all aspects of trusts and estates. Assignment involves a level of document production, administrative functions, and client contact requiring excellent secretarial and technical skills. This position typically supports three or more attorneys or other legal personnel as a primary assignment and also provides back-up secretarial assistance to other attorneys/legal personnel as requested. Maintains professionalism and strict confidentiality in all client and Firm matters.</p><p><strong>Responsibilities (include but not limited to):</strong></p><ul><li>Providing comprehensive administrative support and assisting with legal research for a minimum of 2 Private Client attorneys, including firm partners</li><li>Input attorney/legal personnel’s time utilizing the Firm’s time entry software on a daily basis</li><li>Generate, prepare, and organize documentation and forms requisite to the private client practice areas such as wills, codicils, agreements, amendments, trusts, powers, designations, distribution provisions, as well as correspondence, reports, and/or other materials as requested</li><li>Preparing engagement letters, running conflicts checks, creating and maintaining client and general files, and searching and printing reports</li><li>Working closely with attorneys in the preparation of Federal and State estate and gift tax returns, as well as other fiduciary assistance (e.g., fiduciary income tax returns)</li><li>Coordinating and implementing high volume of charitable donations on behalf of high net worth individuals</li><li>Interfacing with charities for details of implementation and tracking</li><li>Acting as liaison with the client, accounting, and legal groups</li><li>Prepare expense reports for each attorney/legal personnel. Submit to accounting for processing</li><li>Working with Billing Coordinator to prepare invoices, create cover letters, and send invoices to appropriate personnel</li><li>Prepare and keep current desk instructions with respect to each assigned attorney/legal personnel</li><li>Administrative tasks including, but not limited to: screening calls, processing mail, maintaining calendar and deadline reminders, coordinating and transcribing meetings, managing contacts, and arranging travel</li></ul><p><strong>Requirements:</strong></p><ul><li>3+ years of legal assistant experience</li><li>Strong organizational skills and attention to detail</li><li>Excellent proofing and communication skills (oral and written)</li><li>Demonstrated interpersonal skills with the ability to work independently and as part of a team</li><li>Technological proficiency in Microsoft Office Suite and utilizing the internet</li><li>Working knowledge of filing databases (e.g., iManage) and tax preparation software is highly preferred</li></ul><p><strong>Featured benefits:</strong></p><ul><li>Medical, dental and vision insurance, 401(k), child care leave, commuter benefits</li></ul><p><strong>Requirements added by the job poster:</strong></p><ul><li>Accept a background check</li><li>Authorized to work in the United States</li><li>3+ years of work experience with Microsoft Office</li><li>No need for visa sponsorship</li></ul><p><br></p><p>The statements contained in these position descriptions are not necessarily all-inclusive.
